Dear Trip Organizer:
Thank you for putting in all of the work to organize a trip to the YMCA East Bay Outdoor School (Y-EBOS) at Camp Arroyo! We understand it is a lot of hard work to make overnight trips like these happen, and we appreciate all that you are doing on behalf of your students. We have tried to make our pre-trip planning paperwork as simple and accessible as possible (even though it may not always seem like it!).
To live up to our green intentions, we distribute most of our materials electronically. Most of the manuals and forms needed for your trip to the YMCA East Bay Outdoor School at Camp Arroyo are described and linked below. Please only print what you need, and if possible, use the double-sided option to use both sides of the paper.

Please note: The items with asterisks (*) require on-time submission to guarantee accurate programming.
Teacher Manual: Please carefully review the Teacher Manual, even if you have planned a trip in previous years as it has been revised. This will guide you through every step of your planning process and contains many useful tips. In the back of the manual is our Adult Health History and Authorization Form which every adult must complete before arriving at Y-EBOS.
Pre-Trip Planning Checklist & Timeline: Please print out this document and fill in due dates relative to your trip date. Complete all applicable Pre-Trip Planning Checklist and Timeline items to make sure that you meet all deadlines and ensure a smooth planning process. This document is also included in the Teacher Manual.
* Facility Contract (mailed directly to school upon booking confirmation): This form outlines your camp fees, deposit amount due, balance due and other important terms, including our cancellation policy and guaranteed minimums. If you have not already, please have an administrator sign and return it as soon as possible to hold your trip dates.
* Use Agreement Standard Terms (mailed directly to school upon booking confirmation): This document is a legally binding agreement which confirms your understanding of the use permit your group is being given while at YMCA Camp Arroyo and confirms your release of liability while using the facility. If you have not already, please have an administrator sign and return it as soon as possible to hold your trip dates.
* Insurance Form Instructions: This is a step-by-step process in how to obtain the Certificate of Insurance. Please follow the directions carefully and begin the process as early as possible. Groups will not be allowed at Camp Arroyo until our business office has received proof of insurance. This process can take some time so please put in a request for insurance as soon as possible.
Parent/Guardian Handbook (in English or Spanish): These guides provide answers to common questions parents may have about their child's trip. Please copy and distribute the handbooks to parents. In the back of the Handbook is our Health History and Authorization Form which every student must have completed in order to attend Y-EBOS.
Chaperone Manual: This guide provides chaperones the information they’ll need to have a successful experience. Please copy and distribute the manual to each chaperone. In the back of the manual is our Adult Health History and Authorization Form which every adult must complete before arriving at Y-EBOS.
* Climbing Wall Release Form (
in English or Spanish): If you select the Climbing Wall as a lesson for your students,
each student must have a copy of this form signed by a parent/guardian in order to climb the wall. Before selecting the Climbing Wall lesson, please confirm with your school authority that your students are allowed to participate in challenge course/high ropes activities.
* Needs Assessment Form: This accurate information is essential for planning curriculum, staffing and meals. You will need to collect student Health History forms to complete this form so please plan accordingly.
*NEW* Y-EBOS Journal (3-Day, 4-Day, 5-Day): This is an optional journal that focuses on review and reflection of the student's time at Y-EBOS. The journals are a great activity during Cabin Time and can also be incorporated into lessons.
As your trip approaches, you will receive the following documents to be completed:
* Adventure/Cabin/Table Group Lists: Once the Needs Assessment Form has been submitted to Y-EBOS, you will receive the Group Lists forms. These are the various groups in which the students will be participating in activities.
* Student Concerns (including health concerns and authorizations): When you collect each student's Health History and Authorization Form please add the health concerns, special needs, and authorizations (to swim and/or climb, as appropriate) of students to the Adventure Group Form so that all teachers and naturalists are aware of any student concerns of which they need to be aware.
Regular Medication Log: This form is for the school’s designated trip Health Supervisor to log all regular medications distributed during the trip to ensure appropriate and timely medication management. Prior to the trip, any students receiving regular medication should be listed on this form. Download as many copies as necessary.
